Architectural Committee

  • One open ticket—asked a question about fences. Giving one week for reply. Another ticket closed out.

Common Grounds

  • Hedge by walkway has been trimmed inward but not outward—may not be on homeowner property; should we get rid of it or keep it? Start by talking with homeowners and put off a decision until the Annual Meeting. Find out how much more it will cost to maintain.
  • Signs for the ATVs are procured but are not up yet. May want to put a sign up at the barrier as well.
  • Does anyone know who cleared out the drainage ditch last year? Guessing the county.
  • Could get a waiver for the bridge situation (see last month’s notes for details).
  • The drainage area adjacent to the walkway is not readily identifiable and appears to be poorly maintained or obstructed. Could the landscaping company assess and clear it? May need to address next year.
  • Still need to address bridge railings and railings on playground border.

Treasurers Report

  • Have brought in about $3,300; sent two disclosure packages
  • Re-sent emailed invoices to remind people to pay dues
  • Spent $1,400 on groundskeeping, $300 deposit on face painter for picnic
  • Would like to print dues letters to go with annual meeting invite
  • Paying out $9,300 of private street funds for a project

Pipestem Committee

  • Repaving of one private street (see treasurer update for details)

Active Items

  • Annual Meeting
    • Will be on the 19th of October, 7pm-9pm; at Groveton for now.  
    • Request for a Zoom option, but that may not be feasible due to poor wifi; same with streaming.
    • Will need to send notice out ahead of the meeting (15 days); will plan to hold a stuffing party on the 1st of October (monthly meeting will be that day, too).
  • Newsletter
    • Posted to FB page and sent on distro list. Two copies will be posted on boards.
  • Adopt-a-Highway tracking for the 20th of September
  • Yard Sale: Should we go with the opposite house for hanging the yard sale sign? Sonata will make contact to see if they are up for it. Kristina mentioned there is an arrow on the sign that may make placing it in a different place difficult. Sonata pitched getting signs made that go into the ground.
  • Angela is ready to depart, so we will need to get a new Secretary. Will be addressed at the Annual Meeting.
  • Picnic
    • Moon bounce not ordered yet. Waiting for them to get back in touch.
    • Angela’s husband will be grillmaster again.
    • Face painter is secured; not sure about the horses.
    • No toilet this year since it didn’t show up last year.
    • 10 AM for setup on the 3rd.
  • Tickets
    • Shared leaning fence issue escalated to neighbors not responding to requests to talk, situation not improving—what is the HOA’s responsibility regarding fence issues? Nothing in bylaws about it.
    • Updated several email addresses and sent to Eric.
    • Car parking issue—Sonata left note on windshield and asked if the issue was resolved.
    • Overgrown backyard—will send a letter with annual meeting notice.
