Treasurer Business
- No success finding a backfill treasurer; discussed an email blast and another FB post (which will also include info about other open board positions).
- Discussed ways we could reach more people: signs, update website to show vacancies.
- Continuing to process dues payments.
Playground
- Brought up concerns regarding poison ivy @ the playground; board noted that it has been a persistent problem. Liz volunteered to check the status of the ivy and see if it is overgrown.
- Asphalt estimates are next big project.
Architecture
- Nothing new to report. Couple of tickets closed, nothing pressing to discuss.
Pipestem Signs
- Motion for approval of the pipestem signs was enacted via email, and to approve the contractor chosen for installation. Proofs were provided and all agreed to have Fairfax County Sign Shop do the signs and to accept the installation proposal from Signs by Tomorrow.
- Next phase will be scheduling the installation and making a community announcement.
Annual Picnic
- Picnic will be on September 14, 2024.

- Vendor Solicitation: Anna; moon bounce and face painter booked, porta-potty booking in progress, waiting for answer on ponies
- Food: Connor
- Shed Inventory: Angela; planning to get to shed and do assessment before next meeting

- Grill Swap: Ad hoc
- Board Information Table: TBA, suggested an QR code and some balloons
- Volunteer mechanism: can we do Sign Up Genius on the website; facilitate signing up for schedule and tasks. Liz put SUG on FB page for the event, the website, and main FB page. No volunteers yet.
Annual Meeting
- Annual Meeting is scheduled for October 21, 2024, at 7pm. Location confirmed and is same as last year.
- Meeting notice needs to go out in writing at least 15 days before the meeting; 2023 Annual Meeting folder in Nextcloud has all the artifacts we need:
- Special guest invites
- Logistics
- Creating the invite letter
- Preparing correspondence for mailing
- Preparing handouts and documents; financial reports and next year’s budget
- Refreshment
- Check PO Box for proxies
- Supervisor Lusk is a guest possibility
- Agenda items: year in review, feedback on future topics and priorities
- Anticipating conversation about swirly slide and other playground matters
Tickets/Complaints
- Ticket 639580: query about fencing, what type and how high ay 4337 Rock Creek Road; Kerri will reach out
- 6805 Moon Rock Court: overhanging trees in property that may be on HOA land. Also overgrown common area. Let her know to submit ticket so we can determine property lines and move forward.
Misc.
- Facebook member requests: concern about the number of fake accounts—do we want to validate renters w/ owners? Hard to tell who is a scammer and who is not. Will reach out to Anna if there is a way to validate.
