Minutes of HOA Board Meeting on September 11, 2024

Treasurer Business

  • No financial report
    • Processing checks from HOA dues; about 15k in online dues and 7 or 8k in paper checks. Reports will be in as soon as possible.
    • Expenses:
  • Fairfax County Signs deposit: $990
  • Renewing QuickBooks: $460

Annual Picnic

  • Picnic will be on September 14, 2024; 11-2:30pm
  • Duties
    • Volunteer Coordination: Liz
    • Vendor Solicitation: Anna; moon bounce and face painter booked, porta-potty and ponies booked
    • Food: Connor; directed to food list on Nextcloud and will get food this week.
    • Shed Inventory: Angela; assessment completed, recommended more large paper plates, paper towels, small metal pans, wipes, condiments—the rest was pretty well stocked.
    • Setup and Teardown: Kristina and Anna (setup); Anna and Angela (teardown)
    • Grill Swap: Ad hoc
    • Board Information Table: Suggested putting up a photo of Sam Amonick and putting out a card for people to sign and give to the family. Kristina will print out photo and Angela will get the card. Also discussed naming a Santa Stop after him and giving out hot chocolate at the stop.

Annual Meeting

  • Annual Meeting is scheduled for October 21, 2024, at 7pm. Location confirmed and is same as last year.
  • Urged to read the bylaws and refresh on the meeting’s purpose and processes.
  • Three members have expiring terms: Anna, Kristina, and Hunter. Only Kristina will re-run. Still need treasurer and president. Community will elect the new board members.
  • 43 Homeowners are needed for quorum
  • Angela will be responsible for collecting proxies; was advised to use the proxy folder in Nextcloud for collection
  • Suggested the Rose Hill Community Leader as a possible speaker—Jim will reach out, and Kristina will assist if needed.
  • Kristina volunteered to put the signs out. Approx. 421 envelopes need stuffing—Kristina and Connor volunteered to do it. Anna will take care of getting the materials together and printing
  • Anna is taking care of refreshments
  • Need ideas for the agenda (what we’ve done and what we are working on)
