Minutes of HOA Board Meeting on December 11, 2024

Called to order at 7:05 pm.

Minutes tentatively approved from November meeting, with one minor change—

  • State which officers were elected and which ones were reaffirmed; Angela will be on the lookout for guidance.

Kristina sent out a recurring meeting link for the foreseeable future.

Treasurer Report

  • Christian has done a more through turnover with Anna and has been learning the ropes of being the Treasurer; still needs to go to the bank to switch names and will coordinate to do it at the end of the month.
  • Has access to bank account and QuickBooks.
  • Formal report will be next month.
  • One treasurer-related ticket regarding dues: Christian is on a backlog and will get to it soon.

Architectural Control Committee

  • Nothing open right now

Playground Committee

  • Trash is overflowing at the park; one neighbor on Whetstone has offered to throw it away—Christian has offered use of his trash can for disposal.
  • Town and Country contract—info should include contact info as well as contract details—trash should be picked up twice monthly December through March.

Private Streets

  • Account balance for private streets ticket query: balance sheet is in the process of being updated and will reach out to Anna for an update.

Adopt-a-Highway

  • Successful pickup in November! Lots of volunteers due to outreach. Will do it again in the spring.

Shooting Incident

  • Police statement not posted on FB; will not post since no longer timely
  • No further updates; will ask Brian to see if there’s any new info

Pipestem Signs

  • Monday December 9, Jim and his wife met with the Signs by Tomorrow owner and confirmed the places the signs will be and he has the info he needs to work with Miss Utility. The owner will give an installation date when he has one.

Santa Visit

  • Map needs to be sent out in the email blast and posted to FB. The fire department also needs a copy of the map. Jim mentioned the “lead car” that has been used in the past as a guide. Asking Liz to do it.
  • The signs have been designed and ordered to be printed and laminated; will be delivered tomorrow. Angela will drop the signs off at Kristina’s tomorrow after they have been dropped off.
  • Liz will pick up the signs after the event; Sonata will put them out the day of the event.
  • Kristina’s husband will stay at Stop 8 for pictures.
  • Angela has gotten all the stuff together for Sam’s stop, minus some odds and ends and the dispenser. Will pick up those this week.
  • Debbie Amonick will be present at the stop during the event.
  • Angela will put out a Facebook post with a graphic and the route map tomorrow.

Tickets

  • Several are pending Connor’s actions; no updates.
  • No updates on the mulch pile; plan to get it done by next meeting.
  • Newsletter content idea: wants to recommend a business; Angela will respond that we appreciate the suggestion, but we try not to endorse businesses.

Other Business

  • Annual function related to dues assessments: in addition to setting assessment amount, we have a max assessment threshold but can raise it by a certain percentage each year in the March or April timeframe. Will put out a motion to increase the maximum.
