Minutes approved from November and December.
Treasurer’s Report
- Q: What are the assets on the balance sheet? A: Cash. Have about 200k in the bank account.
- More explanation about the finances can be given next meeting, as Christian is still working around QuickBooks.
- Uncashed dues check: working through paperwork and will take it to the bank once it is located. Will also keep a look out for any others.
- Bank and law firm need updated roster with the board members listed. Eric recommended email and he volunteered to send it.
- Angela will update letterhead template and upload it Nextcloud this evening.
- Christian will need to update the master Excel sheet to let the pipestem group know how much money they have in their accounts.
- Two receipts for Santa stuff and for switching the PO box.
Santa Visit
- HUGE success—lots of people and lots of compliments. Angela volunteered to do the hot choc station next year.
- Debbie and Rebecca Amonick were touched by Sam’s Stop. Kristina’s husband did a great job and will also reprise his role next year.
- Sonata suggested starting outreach for the event sooner than we did last year to maximize participation.
Committee Updates
- Architectural
- Only open one is about the window; was one about a fence but it is not available anymore
- Potential to recruit two more committee members
- Playground
- felled tree in park: two estimates given but none solidified.
- Also drove by barrier and asked for estimate; still waiting for one from the contractors.
- Cracked tree will also be taken care of ASAP (from January 2023).
- Connor will also assess trees in common area behind home on Moon Rock, weather permitting.
- Landscaping contract: garbage issue is addressed; Connor spoke to owner personally and they assured him it would not happen again. Connor also got estimates for other contractors since the current one is not satisfactory. One will not work and he is waiting for the second.
- Adopt-a-Highway
- Will resume when the weather is nicer (March-ish)
Tickets
- Disclosure package for Architecture response about the windows. Sonata responded and indicated it would be closed if there is no response.
- Overgrown yard on Rolling Stone Way—resolved.
- Pipestem driveways—Christian is working on that one (see Treasurer section)
- Mountain of wood chips—Christian and Kristina spoke to her. Ordered the mulch and did not get around to using it. Says it will be gone in the spring. Ticket will remain open pending follow up.
- Sonata mentioned that we will need someone in charge of the tickets as they come in and delegate them out, otherwise the tickets will sit until someone gets around to it. Liz volunteered to do it.
Plowing
- Christian called VDOT about the lack of plowing and what they will do Saturday in case there is snow. Sonata called as well.
- Pipestem owners will need to initiate any plowing on their streets and the funds will come from private street accounts.

Vantage Villager
- Quarterly distribution (February, April, July, October/November)
- Kelcie Johnson volunteered to help
- Plan for one in February
Facebook Issues
- Lots of requests from spam accounts and lots of spam posts. How do we wade through and validate the legitimate requests?
- Make group invitation only? Can add to a disclosure package and put it in the newsletter. Plan to put it on a trial basis and see how it goes.
- Also need to go through and clean up the member list. Notify in the Villager in the event someone legitimate gets cut out.
- Can reconfigure the three entrance questions if we want, but we are limited to plain text and Yes/No responses
Misc.
- House building at the end of Vantage? Haven’t heard much about it beyond the fact someone wants to build it.
- Discussed certificates of appreciation.
- Thanks to Christian for taking care of the Corporate Transparency Act
- Pipestem signs: ongoing issue of utility work; to help resolve that, our contractor is going through a second round of tickets. Once okayed, the installation will proceed.
- Tentative Block Party date: June 7, 2025. Will figure out rain date later.
