Minutes of HOA Board Meeting on March 19, 2025

Minor correction to last month’s minutes: April 26 for yard sale, April 27 for adopt a highway

Treasurer’s Report

  • Do not have a recommendation as to whether we should raise HOA dues or not
  • Complete control of the HOA account currently
  • Signs paid, insurance policy paid
  • Need to pay deposit for Professional Grounds lawn care; replaced Town and Country—need to get info to Christian
  • Flintstone house payment not yet resolved; will check mailbox
  • Filing taxes this weekend with Anna
  • Need to update spreadsheet for private streets
  • Dues need to go out soon, send notices for payments until May, when paper notices will go out; keep dues rates as is for time being
  • Need second key for P.O. Box

Architectural Committee

  • Nothing new to report
  • No open tickets

Common Grounds

  • Moon Rock Court ticket—will go by Monday to check out the spot; will see if the new grounds company will handle it
  • Growth between neighborhoods has been taken care of
  • Waiting for tree branch over Whetstone and the park—will be taken care of shortly
  • Professional Grounds did take care of the trash; got a tip to consider trash cans with lids to keep rain out
  • Approved estimate for wooded path—suggested start time was after first spring growth; neighbor plans to build steps in trail to mitigate muddy spots
  • Sign for trail—looking into it, nicer ones trend towards 1k; will send options to group so we can vote next month—same for park one
  • Neighbor needs info on when we want to schedule the pressure washing; Sonata will reach out

Mulch Pile Ticket

  • Progress is being made on pile, but it’s not gone yet

Trash in Woods

  • Kristina called non-emergency number, trash is gone now
  • Keep an eye out for dumping in the woods

Yard Sale

  • Sign will be put up week prior; remind them when time gets closer
  • Angela will post upcoming events to FB

Block Party

  • Rita’s table—just Icees; $75 deposit, require $175 in sales
  • Taco truck—no deposit, require $500 in sales
  • Angela will do the flyer again; calendar/important dates on this year’s

Vantage Villager

  • Draft for newsletter is finished and will be sent out tonight
  • Angela needs to confirm what needs uploading with Erica King
  • Send any FB graphics to Eric so he can include them in the email blasts; create some kind of cadence for the comms about events (i.e., two notices about block party leading up to event)
  • Next issue and on FB: Open a ticket if you have a grievance (HOA has contact form for many topics, submit a ticket if you have a question) or seek appropriate resources through the county; provide links for some services—also add something on the website; Eric will write the guidance and Angela can provide a graphic

Dog Barking Complaint

  • Someone in the neighborhood received a letter about excessive dog barking; the letter also contained a threat about the barking unless it was remedied
  • The board would like it on record that they agree the complaint may have merit, but do not approve of the way in which the situation was handled
  • Options are to reach out to the complainant to let them know about their options; do the same for the person who opened the ticket

Bike Lane Saga

  • Some of the formerly removed bike lane is replaced but not all; Sonata will keep following up on it with VDOT

Slanting Street Sign at Vantage and Rolling Stone

  • Repair should be done within 30 working days; Eric submitted the issue early March
