Architectural Committee

Common Grounds
- New soft red-brown mulch has been installed on the playground
- Trash cans have been ordered and will be notified when they are installed
- No motorized vehicles sign has been bought and will be put up soon; prompted after seeing people riding ATVs on the Rock Creek Trail and in the neighborhood; drawing the ire of the Woodstone community, too
- Suggested installing two posts at the entrance to keep motorized vehicles from coming into the trail
- Pressure washing the slide and the bridge; Christiam volunteered his water and Connor volunteered time, other members will share hoses for the effort—would like done before the block party on May 30th.
- Need plan for repairing rail ties that are coming up on railings around the playground—wood is warped and it needs to be replaced. Connor will reach out to some people for assistance; will also put out a Facebook post. Scott will check it out and see if it is something he can handle.
- Re-sealing picnic tables needs to be done. Christian has the sealant and some brushes. Sonata will handle it.
- Ticket about missed patch for mowers—taken care of and closed out.
Treasurers Report
- About 80 people have paid dues so far (about $10k)
- Answered about 25 individual emails about the dues increase; about 95% were ok after explaining the issue, others asked if it was a scam
- Article 4, Section 3A: HOA can vote for a 3% cap increase, but we need 2/3 of whole HOA to approve it, or the Board can vote to raise it no more than the current cost price index—we will re-verify compliance with this rule in the bylaws
- Lessons learned: will send a notice out next time there is a raise in dues
- Acknowledged that there are some issues with the electronic system and other members of the board are troubleshooting it
- Christian owes Angela 127 dollars for fliers, owes Connor some money, sent in taxes, and sent in $14k for trees
- Envelope stuffing party on horizon for dues that have not been paid yet
- Entered executive session at 7.33pm; exited at 7.42pm
Pipestem Committee

Active Items
- Yard Sale Sign: discounted HOA dues no longer apply to people that put the yard sale sign up, which they agreed to. Sonata arranged to pick it up. Someone not on the board emailed about putting the sign up, so when Sonata went to pick it up, the neighbor was putting it up. The neighbor was unhappy about not being notified prior to action being taken. Sonata spoke to the neighbor about how the board also pays dues and does work year-round, and he understood. Neighbor sent an email after conversation asking for clarification on the decision and steps moving forward. Sonata will respond saying we are willing to store the sign and put it up/take it down.
- Newsletter and block party flier will be sent in an email blast soon; volunteers will distribute fliers this weekend; Sonata will draw a map with who will take what
- Block Party
- Two food trucks will be present and deposits sent (Flavor Hive and Cupcake Mafia)
- Kids’ activities will be ordered via Amazon; bubble liquid for bubble machine
- Connor will get s’mores items and water; Christian has the skewers
- Set up will be around 3, event starts at 4:30
